Personal information we collect
We may collect contact details for clients and individual customers; information voluntarily supplied for housing needs surveys and public consultations; information supplied through website enquiries; website usage information; and employment information required to manage our staff.
Contact enquiries
Submitting the contact form stores your name, email address, optional phone number and organisation, requested service, project location, message, a unique enquiry reference and submission time in a secure database. Approved RCA staff can review these records through the restricted management dashboard and use them to respond to enquiries, analyse demand and prepare internal reports. Records are not publicly readable.
The form also prepares an email in your own email application. You must press Send there to send the email; your submitted enquiry remains saved even if you do not send it. Contact RCA using the details above for enquiries about your information.
Consultation submissions
Our online consultation form does not request a name, email address or full postal address. It records the answers and comments you submit, an optional outward postcode area where requested, your confirmation, a unique response reference and the server time of submission. The Owl Homes Hampton Garden Centre questionnaire does not request a postcode. Please do not include personal, special-category or otherwise sensitive information in free-text comments.
Valid consultation submissions are held in a secure database that is not publicly readable. We use them to analyse community feedback, inform the developing proposal and prepare consultation reporting, including a Statement of Community Involvement. Published reporting may include aggregated or anonymised findings.
Website analytics
We use Cloudflare Web Analytics across our public website to measure page visits and loading performance. It does not use cookies or browser storage, record form contents or create visitor profiles across websites. It reports page and referring-page URLs, browser information and performance measurements to Cloudflare. Please do not put personal information in website URLs. The secure reporting dashboard is not included. Learn more about Cloudflare’s data collection and privacy practices.
Cloudflare processes these measurements to help RCA improve its public website. Its service receives network addresses when handling requests, but Cloudflare states that it discards IP addresses at its nearest data centre without storing them in core databases or logs. Measurements may be processed outside the UK. See Cloudflare’s privacy policy.
Optional Google Analytics and Microsoft Clarity
Google Analytics and Microsoft Clarity are currently disabled. This website does not load their scripts, send usage data to them or set their analytics cookies. Consent controls are in place for future activation on RCA’s public website. We will request a fresh choice when the tracking configuration changes.
You can accept, reject or choose each service separately. We rely on consent for optional website analytics. Withdraw consent at any time through Cookie settings in the footer; rejecting analytics does not affect use of the website. Your browser stores your choice for up to 180 days. When activated and consented to, these providers may process technical information including network addresses, browser and device details, eligible page visits and interactions. Google advertising features are disabled. We do not send form contents, names, email addresses, outward postcodes or consultation response references to either service. Contact pages, consultation pages, unknown routes and pages with URL query strings or fragments are excluded from Google Analytics and Microsoft Clarity tracking, and website content is marked for Clarity masking.
Analytics providers are Google and Microsoft. Their processing may involve locations outside the UK. Before activation RCA will confirm the applicable provider agreements, international transfer safeguards and retention settings. You can read Google’s privacy policy and Microsoft’s privacy statement. Withdrawing consent prevents future tracking but does not automatically erase data already received by a provider; contact RCA to request help with your data protection rights.
How we obtain and use information
Most personal information is provided directly by individuals. We use consultation and survey information to analyse feedback, understand housing need and keep respondents informed about projects in which they have expressed an interest. Aggregated findings may be shared with clients and planning authorities. We do not share personal information about current or former staff without consent except where a specific lawful requirement applies.
Lawful bases
Depending on the circumstances, RCA relies on consent, contractual or legal obligations, vital interests, public task or legitimate interests. Consent can be withdrawn by contacting Jane Csondor at janecsondor@rcaregeneration.co.uk or by writing to the address above.
How we store information
Information is stored securely. Contact details may be retained for up to 15 years after they were last required, after which electronic records are deleted from RCA systems.
Your data protection rights

- Restriction of processing in certain circumstances.
- Objection to processing in certain circumstances.
- Data portability in certain circumstances.
